What are the purpose(s) for which data are being processed within this research project? 

The Understanding Society Scientific Conference 2021 website includes an abstract submission form. This form collects the name, affiliation, contact email and abstract of the person completing the form. This information will be used to respond to applicants to let them know about the outcome of their abstract submission.    

What is the legal basis under which data is processed within this research project? 

Under the General Data Protection Regulation (GDPR), a legal basis is required for processing of personal data.  The legal basis under which data is processed within this project is: 

Article 6 (1) (a) – “the individual has given clear consent for you to process their personal data for a specific purpose”. The specific purpose is detailed in the previous section, and submission of the abstract is deemed to be informed consent to the processes detailed within this privacy notice. 

This particular project does not involve the processing of data concerning gender and ethnicity or any other ‘special categories’ of data as defined within the GDPR.

Which sources of data are being used by this project? 

Name, affiliation, job title and email address entered by an individual when submitting their abstract for consideration.  

How is the data being collected within this project? 

The data is being collected by the abstract submission form on the Scientific Conference website.  

What categories of data will be obtained from these sources? 

The project will obtain specific data from the abstract submission form.  The data that will be obtained has been identified by the team as necessary and sufficient to support the processing objectives.

Will my data be used by the project? 

The data will be used to contact individuals to let them know the outcome of their abstract submission and to send them details of their conference participation. 

Can I opt-out of the use of my data by the research project? 

You can request that your data is removed at any time.  

How will my privacy be protected? 

All data received at the University of Essex will be securely stored within an infrastructure that is certified to the Internationally agreed standard for Information Security (ISO27001:2013), and will be managed in accordance with the Data Sharing Agreements that govern the use of the data obtained from the different sources.  Access to the data will be restricted to a small number of named and approved members of the project team. 

What are my rights in relation to the data?

Data will be retained by the project team for six months following the abstract submission.
